Privacy

CampusOnline is a school management platform. Schools using it entrust us with information about children and their families, which is the most sensitive data we could hold. This page explains what we collect, why, and what we will not do with it.

Two kinds of information

What you send us before becoming a customer. If you request a demo we collect your school name, your name, mobile, email, city, an approximate student count and anything you write in the message box. We use it to contact you about a demo. We do not sell it, and we do not add you to a mailing list.

What a school puts into the product.Student records, guardian details, fee and payment history, attendance, marks, staff records and messages sent to parents. This is the school's data, not ours. The school decides what goes in, who may see it, and when it is removed.

Where school data lives

Every school is given its own database. A school's records are not stored in shared tables alongside another school's, and access inside a school is limited by role and by campus.

What we do with it

• Operate the service the school is paying for, including backups
• Provide support, which may mean looking at a record when a school asks us to
• Investigate faults, abuse or a security incident
• Meet a legal obligation where one applies

We do not sell school, staff, student or guardian data. We do not use it to train models. We do not share it with advertisers.

Messages to parents

SMS and other messages are sent when a member of school staff sends them. Nothing is dispatched automatically. Where a school uses the Android gateway app, messages are sent from the school's own SIM on a handset the school controls.

Retention

School data is kept for as long as the school holds an account with us, and for a limited period afterwards so an account can be restored if it was closed in error. A school may ask for its data to be exported or deleted. Demo requests are kept while we are in contact and removed when they are no longer of use.

Your rights

If you are a parent or a member of staff at a school using CampusOnline, the school holds your record and is the right first point of contact — we cannot change or release another organisation's data on request. If the school directs us to act, we will.
